Transferring at the Start of a New Term

If a student transfers to a new class at the start of a new grading period, simply update their schedule on the screen for the new grading period only. There is no need to make any adjustments to the old grading period, because when it calculates the cumulative grade it finds their old grades from any period or teacher. For example, if a student had Geometry with Mr. Galan, 5th period for 1st Quarter, then transferred to Ms. Holm, 6th period for 2nd Quarter, it uses the grades from both teachers to calculate the Semester grade.

However, there is one very specific exception: If your cumulative grades use "Unweighted cumulative sum" instead of "Weighted average", and the student is transferring from a different teacher, then it cannot calculate the cumulative sum from both teachers (each teacher may have very different point values or categories). So in this case you'd need to transfer the student for the old grading period as described below.

Changing Periods in the Middle of a Term, Same Teacher

To transfer a student from one period to another for the same teacher in the middle of a grading period, teachers may go to the screen to add and withdraw the student from the appropriate periods. Or in Admin Mode you may do this on the screen.

The grades and comments transfer automatically if both periods have the same assignments on the same dates. But if they have different assignments or different dates, you must first print the student's grades before transferring, then manually reenter the grades after transferring.

It doesn't matter in what order you add and withdraw the student. You can even add the student days or months after they were withdrawn, and it still transfers their old grades.

Changing Teachers in the Middle of a Term

To transfer a student from one teacher to another in the middle of a grading period, each teacher may add or withdraw the student on the screen. But this does not transfer any grades.

Or in Admin Mode, you may do this on the screen or through an Import, and it does transfer grades, but only if both classes are the exact same course (e.g., Algebra and Advanced Algebra are not the same course, so no grade is transferred). If you make changes after the term starts, it notifies both teachers of the change to their rosters.

Only the total grade is transferred, not grades for specific assignments or categories, since each teacher may have very different assignments and categories. For example, if the student had an 86% in their old class, it enters 86% as the score on all their assignments in the new class. That way the student starts the new class with their old grade, and it is weighted fairly as the new teacher adds more assignments over the rest of the term.

At first when the admin transfers the student, the student appears in both teachers' gradebooks. This allows the old teacher to finish entering grades, then confirm when they are ready to complete the transfer. During this time, the new teacher may start to enter grades for the new student, but they won't count until the old teacher completes the transfer. If the old teacher has not responded for 7 days, the new teacher is given an option to force the transfer to complete.

Changing Schools

If a student enters your class from another school, go to the screen to add the student. Then on the screen, click the Xfer button to enter the transfer grade for that grading period as a percent. Do this for each grading period where you want a transfer grade.

Note: Overriding grades on the screen has no effect if the student is not added to your gradebooks for those grading periods.

Transfer a Whole Class to a Different Teacher

Admins can move an entire class from one teacher's gradebook into another's. Go to the screen in Admin Mode, edit the section, and change the teacher. This transfers all the students, assignments, grades, notes, and grading settings. To transfer an entire gradebook, repeat for each class.
