| Import Staff |
|
System admins can import new staff accounts. See Import Data for general data format requirements.
This section describes the columns accepted to import staff data: School/Building Code — This code should match whatever you enter on the screen. If you haven't entered those codes yet, it will ask which code matches which school and save those codes during the import. You must have permission at each school. This column is optional; if omitted it assumes the school you currently have selected in the tab-bar. Name — The first and last names may be in different columns, or you can import the full name in one column like "John Doe" or "Doe, John". Students do not see first names, so be sure to import their real name, and not just "Mr." or "Mrs." Email — The user's email address. This is optional, but it makes it much easier for staff to start their new accounts.
ID Code — This is not the username; it's just an optional identifier to match data with other software when importing and exporting data. Notice the user information is repeated for staff who work at more than one school: School Name Email 04 Gina Breyer gbreyer@example.k12.ca.us 04 Rudy Smithers rsmithers@example.k12.ca.us 04 Marla Graham mgraham@example.k12.ca.us 04 Lindsy Bauers lbauers@example.k12.ca.us 05 Lindsy Bauers lbauers@example.k12.ca.us 06 Lindsy Bauers lbauers@example.k12.ca.us ... When Done
Your newly imported staff appear on the screen.
It is okay to re-import data. This does not create duplicates. If a staff member already exists in the database, it does not change their information, so for example if you want to update email addresses you must do that manually on the screen. But you can import existing staff to add them to new schools. If you accidentally import bad data, you must delete it manually on the screen.
For training, it's recommended to import only small sets of data so you can easily undo mistakes, then add more staff as you get more experienced. |
